Legal Secretary (Private Wealth & Inheritance)

An award-winning and Legal 500 ranked full-service law firm is seeking a Legal Secretary to join our Private Wealth & Inheritance Department. This role is crucial in providing secretarial and administrative support to our team of 14 fee earners, ensuring the delivery of efficient, friendly, and professional service to our clients.

Day-to-day of the role:

  • Serve as the first point of contact for new client enquiries, presenting the firm positively, obtaining relevant information, assessing the matter, and referring work for allocation.
  • Manage diaries, including appointment and meeting room bookings, team meetings, and key dates/deadlines.
  • Administer files, including opening, maintenance, closures, archiving, and Will storage, ensuring compliance with anti-money laundering regulations.
  • Act as a witness for Will signings and handle Will and LPA collections.
  • Perform secretarial work confidently using digital dictation, working with precedent letters and supporting multiple fee earners.
  • Maintain up-to-date knowledge of firm and department systems and procedures, adhering to guidelines and assisting the team.
  • Administer billing and accounts, including producing bills, liaising with clients regarding payments, and collaborating with the accounts team.
  • Support business development administration by logging enquiries, analysing conversion rates, and sources of work.

Required Skills & Qualifications:

  • Excellent administrative skills with a focus on accuracy and pace.
  • Highly organised with the ability to manage and prioritise work from multiple fee earners.
  • Proactive approach, with an understanding of urgency and importance.
  • IT literate, open to learning new systems, and able to implement changes.
  • Good knowledge of compliance, particularly anti-money laundering requirements.
  • Excellent client service skills, with the ability to manage new enquiry calls efficiently and professionally.
  • Strong communication skills and the ability to build rapport.
  • Previous experience in Private Wealth & Inheritance is desirable, but legal secretarial experience in other areas will be considered.
  • Good commercial awareness with an understanding of the importance of efficiency, timescales, quality of work, and compliance.
