Operations Manager (Real Estate within the Legal Sector)

Join our award-winning team at a leading law firm known for its commitment to growth and excellence. We have exciting new role available within rapidly growing our Real Estate team. These key positions work closely with the Head of Department (HOD) to oversee administrative operations and enhance departmental efficiency.

Day-to-day of the role:

  • Departmental Meetings: Prepare agendas, minutes, and data for key meetings, ensuring all stakeholders are informed and ready to take action.
  • Diary Management: Manage the scheduling and diary for the HOD, ensuring seamless organization of their time.
  • Client Relations: Assist in processing client complaints efficiently and professionally.
  • Billing Preparation: Coordinate with Fee Earners to gather up-to-date billing information for timely and accurate billing cycles.
  • Financial Coordination: Collaborate with the Accounts team on forecasts, billing, and financial reporting to support department goals.
  • Team Collaboration: Lead admin meetings for Fee Earners, driving improvements and reporting feedback to the HOD.
  • Business Development: Organize monthly business development meetings with the HOD and Business Relationships Manager to boost department growth.
  • Debt Management: Work with Fee Earners to reduce aged debt and improve financial performance.
  • Compliance & Efficiency: Conduct regular audits, ensure compliance with internal and external standards, and suggest process enhancements.
  • Project Assistance: Support the HOD with department-wide initiatives and lead special projects as needed.
  • General Support: Handle administrative tasks, answer calls, cover holidays, and provide support wherever needed.

Required Skills & Qualifications:

  • Proven experience in operations management within a legal or professional services environment.
  • Legal experience or excellent administration and team leadership skills.  Ideally, a legal secretary looking for their next step up.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to handle multiple tasks simultaneously and meet tight deadlines.
  • Strong problem-solving skills and a proactive approach to identifying and resolving issues.
  • Experience in financial management and compliance.
