We are a nationwide organisation with over 30,000 members across the UK who are now seeking an Events Administrator to join our existing team located at our Head Office in Farnham working as part of our wider operations team. The purpose of the role is to assist with the administration and co-ordination of a variety of events based throughout the UK. Reporting into the department manager and liaising with a range of internal departments and external 3rd parties. The role would suit candidates who have previous experience of working in a role that involves some event co-ordination or project co-ordination. You may simply have proven experience in a busy and varied administration role, but you must be confident and enjoy liaising with a range of contacts to ensure both accurate and timely administration and co-ordination of the department workload, managing your own workload whilst ensuring the flow of communication between internal departments and external parties is maintained.
Paying up to£28k depending on experience, the working hours are 37.5 hours per week Mon to Fri with the potential for up to two days a week WFH once training is complete, with free parking, 22 days holiday plus bank holidays and Christmas shut down, pension and a friendly and professional working environment.
You will take full ownership and coordination of a range of events and the associated administration involved in ensuring the success of the events for all parties involved.
Key responsibilities:
Reporting to the Events Manager, the role responsibilities will include, but are not limited to:

  • Coordinating member events from start to finish for the full process to ensure the event is executed to a high standard; from booking dates to the attendees attending the event.
  • Responsibilities include liaising with Event Leaders and various external organisations, coordinating with the accounts team to prepare budgets, setting up the online shop to sell tickets and preparing Member communications.
  • Managing ticket sales and reports, communicating clearly with all suppliers, and sharing the tracks and photographs with members after the experience.
  • Coordinating events at a range of Venues. Responsibilities include working closely with the Event Leader to design the event, which could include a live band/track element, preparing a budget for sign off, liaising with third party venue managers and technical teams, being aware of any marketing or licencing needs and ensuring that all elements have been covered to enable the Event Leader to put on a successful, profit making event.
  • Project work. This is to be determined on a case by case basis depending on workload but essentially it would be helping to coordinate a new project, working closely with the project manager and assisting with necessary timelines and comms.
  • Occasionally attending events, as necessary, to support Event Leaders and Members during the event.
  • T-shirts to be printed and distributed in line with the above experiences, if needed. This would involve liaising with the suppliers and helping to coordinate distribution.

The successful candidate must be a car driver and will have experience working in a busy administration environment that involves managing your own workload and being responsible for the co-ordination of both admin tasks and external contacts. Experience of working within events or projects is an advantage but not essential. More importantly, you should have the confidence to manage an event and the admin and make decisions to ensure the event is successful for both the event holder and attendees.

You should be able to demonstrate you have strong organisational skills and the ability to prioritise workload whilst working well under pressure and the capability and process management. Previous experience creating Google-forms and compile results and budgets would be preferred however is not essential as we can provide training. Exceptional attention to detail and accuracy is required coupled with excellent communication skills over the phone, by email and in person. You must be a strong team player.

In return we can offer a salary up to £28k plus benefits, on site parking and some hybrid working hours working a 37.5 hour week with some flexibility to start and finish times.
