Legal Administrative Assistant

We are seeking a proactive and organised Legal Administrative Assistant to join our dynamic team with the Family Law Department. This role involves comprehensive administrative support to our legal department, ensuring efficient operation through a variety of tasks related to organisation and communication.
Day-to-day of the role:
- Manage and organise diaries for all department members to ensure efficient scheduling and coordination.
- Meet with clients to assist in the preparation of critical documents such as Form E financial statements, including obtaining, collating, and scheduling necessary documents and liaising with clients for amendments.
- Handle new enquiries promptly and ensure all family court hearings and directions are diarised and actioned timely.
- Liaise with clients, counsel, courts, and other third parties through email, telephone, and in-person communications.
- Prepare and send bills for department approval and subsequent dispatch to clients.
- Conduct initial credit control activities, liaising with fee earners regarding outstanding invoices and necessary actions, such as referrals to credit control.
- Address client queries regarding fees in consultation with fee earners.
- Ensure timely receipt and payment of funds for counsel’s fees and other disbursements.
- Monitor court portals daily to update on case status, approved orders, and hearing notices.
- Prepare hearing bundles and other documents as per practice direction rules in advance of hearings.
- Ensure compliance with court directions by preparing and filing cost statements (Form H, Form H1, N260).
- Set up and maintain files in Proclaim, ensuring all compliance checks are completed.
- Manage BigHand dictations and prepare standard letters using templates for client communications.
- Organise and document minutes for department meetings and handle other administrative tasks as needed.
Required Skills & Qualifications:
- Proven experience in a legal administrative role, preferably within a family law environment.
- Strong organisational and time management skills with the ability to handle multiple tasks.
- Excellent communication skills, both written and verbal.
- Proficiency in using legal case management software, preferably Proclaim.
- Familiarity with legal documentation and court processes.
- Ability to work independently and as part of a team.
