Job Overview In this vital role within our import operations team, you will work closely with the Import Team Leader to deliver exceptional service to designated customers, aligning with the company’s strategic objectives.

You will oversee and manage Air Freight Import services, coordinating with team members, partners, carriers, and clients to ensure smooth operations. Your responsibilities include adhering to the company's procedures and requirements while supporting the Import Team Leader in driving operational efficiency and cost-effectiveness.

Additionally, you will assist in mentoring and developing your team to achieve optimal outcomes and take on responsibilities in the absence of the Assistant Import Manager and Team Leader. Other duties may include fulfilling any additional requirements set by the Team Leader or Assistant Import Manager.

Authority and Responsibility

  • Authorize contracts in accordance with the trading terms (BIFA) and credit policies for both clients and suppliers.

  • Manage staff and contracted parties to ensure full adherence to company policies and procedures.

Key Responsibilities

  • Strategic Implementation

    • Collaborate with the Team Leader and Air Freight Import Assistant Manager to execute the agreed strategy.

  • Policy Compliance

    • Ensure your team’s understanding and adherence to company policies, including credit policy and HMRC compliance.

  • Team Development

    • Identify training needs and propose development opportunities for team members.

  • Resource Management

    • Ensure sufficient human and operational resources to handle workload; recruit and onboard talented individuals when approved.

  • Customer Service Excellence

    • Deliver exceptional customer care and manage client expectations through the team.

  • Staff Oversight

    • Conduct Career Development Reviews, address performance issues, and ensure effective time management.

  • Operational Efficiency

    • Leverage One World and Multifreight systems for freight management and financial tasks.

    • Maintain profitability by managing costs and ensuring accurate estimates and timely invoicing.

  • Quality Control

    • Review and sign off on files to ensure accuracy in costing and charges.

  • Client Relationship Management

    • Monitor client activity, report updates, and support sales, CDM, and GTM teams in client interactions.

  • KPI and SOP Management

    • Assist in setting KPIs and defining Standard Operating Procedures with origin partners and suppliers.

  • Promoting Services

    • Advocate for the company's full range of services to clients and prospects.

  • Claims Handling

    • Manage insurance claims per company policy, ensuring approval for any commercial gestures.

  • Escalation

    • Alert management to any concerns or issues that may impact business interests.

    Daily Responsibilities

    • Conduct morning and evening briefings to keep the team aligned.

    • Foster a motivated and high-performing team environment.

    • Maintain professional communication with clients, partners, suppliers, and other departments.

    • Monitor and advance consignments effectively.

    • Report operational issues and job statistics to the Import Team Leader.

    • Ensure accurate data entry in One World and Multifreight systems.

    Reporting Requirements

    • Deliver accurate and timely customer reports.

    • Prepare specific KPI reports as required and support the GTM team with account-related reporting.

    • Keep the Team Leader and Assistant Import Manager informed of significant client developments and new business acquisitions.

    • Report any incidents that could negatively impact service delivery.
