Finance Department - Finance Assistant

Options Greathire Ltd works on the most opulent and glamourous events in London and across the UK on behalf of our many prestigious clients. Our furniture & tableware are the stars of tens of thousands of the most Instagramable moments each year! Our offerings have also featured in film and TV productions including shows such as The Gentleman, The Crown and Bridgeton.

We are a European leader in the hire of furniture, tableware & catering equipment for all events, banquets, celebrations and receptions, with 22 offices around Europe and 770 employees. The Options Greathire UK office is located in Feltham.

We are seeking a productive individual with excellent communication skills to liaise with our prestigious clients and collaborate with our high energy departments.

We are looking for an individual who possesses the following skills:

Job Descriptions:-

  • Month End Tasks:

o Accruals and prepayments

o Month end journal postings

o Aged debtors and aged creditors maintenance

o Helping with profit and loss reconciliations at month end

o Balance sheet maintenance

o Processing adhoc payments on sage and banking portal

o Maintaining fixed assets register

o Stock system updates and depreciations calculations

  • Purchase Ledger:

o Processing supplier invoices on sage (200-300 invoices monthly)

o Requests supplier statements monthly

o Monthly supplier reconciliations before payment run is processed

o Processing supplier & adhoc payments onto the bank portal

o Check direct debit accounts; requesting and postings invoices and allocations

o Processing customer refunds on the system and on the bank

  • Sales Ledger:

o Credit control duties

o Updating and reconciling customers’ accounts

o Resolving queries with clients via emails and over the phone

o Maintaining customers’ accounts

o Sending monthly statements to clients

o Updating the system with credit terms given to clients

o Preparing age creditors spreadsheets for monthly credit control meeting with France

o Action and update client accounts after the credit control meeting

o Checking and updating client rebates, commissions and etc.

o Any adhoc duties covering credit control

o Managing DSO

Stock

o Stock management

o Reconciling loss and breakage reports ensuring stock adjusted as necessary.

o Investigating loss and breakages to ensure no errors.

o Communicating loss & breakages to clients prior to invoicing

  • Responsibilities as a Team:

o Helping the team with any duties which needs prioritising- daily/weekly/monthly

o Assisting in month end processes

o Updating head of finance with any issues and queries

o Contributing towards year end and audit

Notes:-

Any adhoc duties which may arise within Finance team

Educated to degree level, 3 years minimum UK experience
