Office Manager

VBE Restorations is a world class restoration company (based near Rugby, Warwickshire) looking to expand its team. We are looking for an Office Manager! Automotive and engineering experience would be highly beneficial in this role, and extensive office experience is a must.

Duties are listed below (this list is not exhaustive).

  • PA / secretarial duties for Managing Director including booking of flights, email monitoring, accommodation booking, mileage expenses, minute-taking and diary coordination.
  • Payroll – monthly wage submission to Accountants and maintenance of new starter packs, holiday entitlement, quarterly SAGE payroll logging, sickness monitoring, recruitment and HR matters.
  • SAGE entry / monitoring including maintenance of sales and purchase ledger (monthly reconciliation, quarterly VAT Return and Year End consolidation required).
  • Weekly payment runs using Bankline system.
  • Vehicle insurance log maintenance.
  • Production of invoices using in-house Excel system (intermediate knowledge of Excel required).
  • Customs - including quarterly import disposals, CCG maintenance and ad-hoc imports/exports.
  • Goods in and goods out - including organisation of courier and/or pallet transport.
  • Basic knowledge of Photoshop/Adobe Creative Suite for monthly marketing adverts and/or social media.
  • Parts and consumable ordering via workshop or Managing Director (must be consolidated with Accounts).
  • Health and Safety – risk assessments, general fire and health and safety monitoring, first aider compliance, in-house training documentation, PAT testing, fire extinguisher and workshop machinery inspection certificates.
  • General administrative duties (experience with SharePoint and One Drive is desirable) including maintenance of customer, supplier and competitor logs, Xmas mailshots, SAGE information and updating parts pricing via the in-house invoice generating system.
  • Website maintenance and/or social media engagement.
  • Event planning (this happens less frequently throughout the year).
  • Proofreading and or copy editing of company literature
