PROJECT ADMINISTRATOR PERMANENT, FULL TIME £26,000-£30,000 (DOE)FLEET, HAMPSHIRE

Our client, based in Fleet, have a wonderful opportunity for a highly experienced and competent Project Administrator to join their small and incredibly friendly team. This role would be suitable for someone with a Projects Admin background, ideally from a service-type industry.

Essential Duties and Responsibilities:

To carry out office administration duties across the projects department. The duties performed and delivered will include:

  • Communicating with customers & consultants on projects and raising minutes for meetings carried out and actioning those minutes.
  • Completing H&S RAMS & CPP’s for projects via our outsource H&S advisor.
  • Collating, completion and submission of O&M Manuals & Declaration of conformities on the completion of projects.
  • Assisting with sales in preparation and submission of tenders
  • On project award move folders and create new in Sharepoint.
  • Updating calendars & schedule boards for the projects on-going.
  • Obtaining supplier quotations, raising purchase orders for the procurement of parts.
  • Checking and entering invoices following the delivery of parts.
  • Checking the on-going costs of projects and advising on margin levels
  • Raising invoices & setting up projects on Quickbooks
  • Assisting in completion of programme of works on site.
  • Weekly reports to customers and consultants on-site progress
  • Maintain compliance with all company policies and procedures around the projects compliance.
  • Ensuring snag items are completed at the end of a project and filed as required.
  • Assisting sales in downloading tender documents, tender portal management and tender uploads.
  • Scheduling labour, parts and items for projects such as skips, rubbish clearance, portaloos etc.

Education and/or Work Experience Requirements:

  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
  • Excellent computer proficiency (MS Office, Excel and Outlook)
  • Preferred experience in QuickBooks or similar accounting package.
  • Qualifications in GCSE English, Math’s preferred, but relevant job experience can also be suitable.
  • Preferred experience in service delivery, office organization and business processes.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
