Document Controller

Salary: £30,000 - £35,000 per annum + Bonus

Location: Newcastle upon Tyne (Hybrid Working)

GEM Partnership is delighted to exclusively partner with OES Group in their search for a Document Controller. Their story began in 2016 when CP Consultation was established, with a clear vision to lead in cathodic protection and marine growth prevention. Two years later, CP Consultation evolved into OES Group, which marked the beginning of a new era, as the company began developing complete in-house solutions for cathodic protection and anti-fouling systems. Rapid expansion followed including expansion into a new facility, opening an office and warehouse in the Netherlands and diversifying into new sectors.

This year the business has acquired a facility on Team Valley to give scope for increased production and their stellar trajectory was recognised with the award for Fastest Growing Medium Business at the 2024 North East Fastest 50 Awards, recognising companies with a turnover between £10m and £30m.

Due to new contract awards they are seeking an experienced Document Controller to manage project and manufacturing documentation.

Key Duties:

  • Final control and distribution of documents, managing workflows, report generation, including close-out and handover of documentation
  • Preparation and assistance in producing Material Record Books
  • Management of customer project systems.
  • Administration Skills: Proficient in the production, organisation and maintenance of records, reports, presentations and training materials
  • Production and maintenance of procedures for personal, team and corporate use
  • Managing manufacturing records
  • Managing supplier certificates
  • General administration support across the project. Including daily/weekly reporting and personnel reporting
  • The successful candidate will have responsibility for managing and administering all aspects of the clients’ systems, which is mainly Aconex

The Person:

  • Demonstrable experience in a Document Controller role
  • Prior experience in the Offshore Renewable or Oil & Gas sector preferrable
  • Oracle Aconex experience would be a benefit
  • Ability to work independently, and a forward thinking 'problem solver’
  • Keen attention to detail, with a high level or accuracy in record keeping and data management
  • A confident and patient communicator who will be comfortable regularly coordinating activities and requirements with global based Contractors, whilst also respecting the need for confidentiality
