Reporting to Office Manager

Reed is working with an established and energetic law firm in Glasgow city centre that are looking to recruit an experienced and highly motivated administrator to join the support services team.

With offices across Scotland and specialist partners in multiple law areas, including property (residential & commercial), corporate, private client, intellectual property, and agriculture, this firm is a highly reputable and innovative business, with a strong commitment to employee wellbeing.

The Administrator role will be very diverse with duties ranging from managing office admin tasks, organising and storing files, and acting as the front of house receptionist.

This role is ideal for someone who thrives in a dynamic environment and is keen to contribute to the smooth running of a busy office that specialises in various legal sectors.

The main responsibilities of the role will be:

  • Performing general dispatch duties, including making deliveries and collections.
  • Managing the opening, sorting, and distributing of all post, including internal mail.
  • Completing messenger duties and handling the collection of post at set times throughout the day.
  • Being responsible for copying and scanning documents.
  • Handling general switchboard and reception duties.
  • Acting as first point of contact for clients entering the office, answering and assisting queries where possible.
  • Overseeing the booking and coordination of meeting rooms.
  • Performing general archivist duties, including managing files, wills, POAs, and titles, liaising with external storage providers.
  • Occasionally traveling to Edinburgh to assist with holiday and sickness cover, as agreed in advance.
  • Carrying out any other reasonable duties as requested by the manager.

To succeed in this role, you will need:

  • Proven experience of working in an office environment, preferably within a law firm.
  • A detailed and precise approach to completing tasks.
  • A strong ability to prioritise and manage multiple tasks simultaneously.
  • Proficient PC skills and the ability to access PC-based information, intranet, internet, and external contractor’s databases.
