Key Responsibilities:

  • Data Management: Perform administrative tasks related to configuring, maintaining, and monitoring data in our in-house systems, databases, and internal trackers, including the resource scheduling system and sub-contractor job management system.
  • Process Evaluation: Assist in evaluating the effectiveness and efficiency of the configuration management process through administrative support.
  • Data Quality Oversight: Oversee and ensure the accuracy and completeness of system data through regular administrative checks.
  • User Support: Provide administrative support and basic troubleshooting for sub-contractors using our sub-contractor portal.
  • Account Management: Handle the creation and management of user accounts and permissions, ensuring proper documentation and record-keeping.
  • Team Collaboration: Collaborate with other teams to facilitate smooth system operations and provide necessary administrative support.
  • Stakeholder Relationships: Build and maintain relationships with key stakeholders across the business through effective communication and administrative coordination.
  • KPI Reporting: Assist in the creation of monthly KPI reports by gathering and organizing relevant data

Key Hiring Criteria:

  • Meticulous Attention to Detail: Demonstrates exceptional accuracy and thoroughness in all tasks.
  • Advanced Computer Proficiency: Possesses strong skills in using various PC applications and software.
  • Effective Communication: Confidently communicates with customers, suppliers, and employees, ensuring clear and professional interactions.
  • Facilities Management Experience: Preferably experienced in Facilities Management and proficient in using Computer-Aided Facility Management (CAFM) systems.
  • Microsoft Office Expertise: Comprehensive knowledge of the Microsoft Office suite.
  • Discretion and Confidentiality: Maintains the highest standards of discretion and confidentiality in handling sensitive information
