A leading global manufacturer is currently recruiting a Procurement Assistant to work in their Glasgow office.

In this role, you will be responsible for supporting the procurement process, assisting with quotations, purchase order processes, and document management.

The ideal candidate should have procurement or sales administration experience, strong communication abilities, attention to detail, organizational skills, and proficiency in Microsoft Office.

Procurement Assistant Main Responsibilities:

  • Assist/support the team with quotation, purchase order process, payment, forward exchange contracts
  • Use internal Purchase Requisition System to assist in the creation and processing of purchase orders
  • Review purchase orders for accuracy and completeness
  • Track and monitor order status to ensure timely delivery
  • Liaise with suppliers to resolve order discrepancies or issues
  • Communicate delivery schedules and expectations to suppliers
  • Maintain positive relationships with vendors
  • Liaise with internal customers to provide status updates on orders/PD activities
  • Cooperate with logistic and acceptance department about goods delivery
  • Maintain accurate procurement records, including purchase orders and contracts
  • Organize and file procurement documents for easy retrieval
  • Prepare reports and summaries as needed
  • Assist in the registration of new suppliers, including bank account confirmation
  • Provide administrative support to the procurement team as required
  • Schedule meetings, maintain calendars, and assist with correspondence
  • Greet & direct visitors, take meeting minutes, and handle incoming telephone calls
  • Business trips to Northern Scotland as required
  • Ensure compliance with company procurement policies and procedures

Procurement Assistant Ideal Candidate:

  • 5+ years of procumbent or sales admin assistant
  • Bachelor's degree in Business, Supply Chain Management, or a related field (or equivalent work experience)
  • Proven experience as a procurement assistant or in a similar role is a plus
  • Good team working skills and good communication abilities both verbal & written
  • Attention to detail and a high level of accuracy
  • Ability to work independently and as part of a team
  • Strong organizational and time-management skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Integrity and ethical behaviour in handling sensitive procurement information
  • Knowledge of procurement regulations and best practices is preferred
  • Willingness to learn and adapt to changing procurement processes
  • Self-motivated and able to prioritise work to achieve deadlines without compromising quality
  • Business level fluency in English
  • Understanding of Japanese working culture or language would be a plus
