PA & External Relations Administrator
Location: Godalming
Salary: £28,000 per annum
Hours: Full time, 37.5 hours per week
Our client’s school is beautiful and a wonderful place to live and work. It was founded in 1611 and moved to its present magnificent 250-acre site near Godalming in Surrey in 1872. Few schools can offer such a splendid backdrop for teaching and learning, and the School community is very strong, with excellent relationships between pupils and staff.
The Role
The School seeks to appoint, a PA & External Relations Administrator to provide administrative support on a 1:1 basis to the Director, External Relations, and the External Relations department.
Key Responsibilities
- Position the school as a first-choice destination school for academically able pupils seeking a premium independent boarding-style education.
- Engage effectively, creatively and consistently with all stakeholder groups (parents, alumni, pupils, staff, friends)
- Deliver engagement, marketing, communications and events strategies which enable the School to proactively influence the decision making of all of its key audiences.
- Drive significant additional value to all income generating elements of the School (pupil recruitment, customer satisfaction, donations, commercial activity.)
PA Support:
- Organise and maintain the Director, External Relations’ diary.
- Data managing, filing, and recording key interactions by the Director, External Relations with alumni, parents, volunteers, internal stakeholders, Governors, and other organisations.
- Screening phone calls, enquiries, and requests, and handling them when appropriate.
- Be responsible for monitoring and screening of incoming emails and post on behalf of the Director, External Relations.
- Arrange travel, visas, and accommodation for overseas trips.
- Support the Director, External Relations with the production of documents, briefing papers, reports and presentations.
- Coordination and minuting of meetings.
- Dealing with all expenses and claims for Director, External Relations in terms of credit card breakdowns and cost coding.
Department Administration:
- Process all donations received by the department (with the support of colleagues during peak periods)
- Process all returned mail to the department.
- Manage deaths and obituaries.
- Manage confirmation of study requests.
- Input all data updates from stakeholders onto the departmental CMS.
- Oversee the departmental email inbox and phone, ensuring all correspondence is directed to the appropriate respondent.
- Ensure compliance with Data Protection, GDPR and PECR requirements.
- Input and support event activities aimed at the School Community.
- Protect the reputation of the School by adhering to the School’s Fundraising policies and processes.
- Develop constructive professional relationships with colleagues across the School and promote positive perceptions of the External Relations Team.

Skills and Qualifications
- Intellectually robust with a good standard of education.
- Practical experience of working in an office environment.
- Ability to complete complex administrative tasks with minimal supervision.
- Experience of working with different stakeholders.
- Excellent general IT skills such as fast and accurate keyboard skills and a good understanding of databases.
- Proficient user of Microsoft Office Suite.
- Proven track record of setting up and running a range of administrative tasks.
- Experience of dealing with a vast number of email and telephone enquiries.
- A love of administration!
- An understanding of the general context in which fundraising in the independent school sector takes place.
- Experience of Raiser’s Edge software.
