Secretary /Administrator / Note Taker

Starting ASAP

Location: Godalming - office based
Contract: Temp 3 Months
Working Pattern: Full Time, 37 hours per week
Salary: £17-£20 per hour subject to experience

The objective of this role

To provide accurate and timely secretarial support in order to ensure that decision making, resolutions and minutes are captured appropriately.

This role also undertakes the timely finalisation of Minutes and prepares them for approval and assists in accurate and timely Agenda creation.

Essential Requirements
  • Creation of agendas
  • The successful applicant will be required to be attentive and responsive at all meetings and will be able to craft resolutions as discussion occurs.
  • This requires great attention to detail, active listening, and the ability to follow debate.
  • Preparation before meetings is required to enable the smooth performance of this job role at meetings.
  • Proven experience in taking detailed minutes at committee level meetings.
  • Demonstrated experience in the use of Microsoft Office suite especially Advanced Word and Outlook
  • Strong attention to detail and organisational skills including the ability to set priorities and to work to deadlines.
  • A high level of interpersonal and communication skills.
  • Ability to work effectively as part of a team.
  • Proven ability to maintain confidentiality.
  • Awareness of and commitment to the principles of Equal Employment Opportunity (EEO) Desirable Attributes
  • Recording accurately the decisions, commitments, and major discussion points made
  • Preparing draft minutes from each meeting for review, approval, and circulation.
  • Draft minutes should include all accurate resolutions from the Meetings and ensure formatting and standard text is in accordance with requirements.
  • Other duties as directed.

Meeting deadlines for production of minutes
Accuracy of minutes.
