JRRL are looking for a confident Administrator for their client in Gravesend. The ideal candidate will have great attention to detail and be articulate in handling enquiries.

Hours: Monday – Friday 9am till 5.30pm (office based)

Main Duties for the Administrator:

  • Delivering an exceptional level of customer service across all six legal departments, understanding client enquiries: providing friendly and knowledgeable information regarding the firm’s services via telephone and website enquiries.
  • Accurate recording of client details and information. Inputting client data into a database system with the highest level of confidentiality, safeguarding financial and personal information to avoid breaches.
  • Corresponding daily with Legal Advisors and Assistants regarding client enquiries, assisting Legal Advisors with opening client files, performing conflict searches and preparing estimates of fees for services.
  • Monitor daily activities of each client services executive, disseminating daily duties, tracking performance and training staff on operating procedures and company services.
  • Aid Senior leadership during executive decision-making processes and generating daily reports to recommend corrective actions and improvements.
  • Produce monthly business development reports to review client activity and identify opportunities.
  • Account duties including chasing outstanding payments, sending out statements, preparing debt recovery letters.
  • Complaint duties – Dealing with dissatisfied clients to understand concerns, conduct full and thorough investigation, collating information from multiple sources, ensure complaints are addressed promptly and proactively.

Person specification for the Administrator:

  • Ideally seeking someone with experience of working within a legal environment with some Accounts and/or litigation experience.
  • Candidates need to be proactive with an eye for detail.
  • Excellent communication skills.
  • Ability to prioritise and meet deadlines.
  • Competent in using Outlook, Word, and Excel.
