We are seeking a professional and experienced Legal Secretary to provide high-quality administrative support to fee earners (solicitors) within a practice. The successful candidate will be responsible for managing appointments, communicating effectively with clients, and providing general office support. The ideal candidate will have previous legal secretarial experience, excellent typing and organisational skills, and the ability to handle client interactions in a courteous, confidential, and efficient manner. Key Responsibilities
  • Audio and Copy Typing: Provide high-standard audio typing and copy typing support for fee earners, ensuring documents are prepared accurately and within agreed timescales.
  • Client Communication:
    • Answer telephone calls from clients, providing assistance or redirecting calls as appropriate.
    • Deal with clients in a sympathetic, professional, and efficient manner, establishing trust and confidence.
    • Meet and greet clients, ensuring they are welcomed and that all client care procedures are followed as outlined in the Office Manual.
  • Diary Management: Maintain an accurate diary of appointments and provide reminders to fee earners for meetings, court hearings, and other important deadlines.
  • File and Office Management:
    • Organise and maintain client files, ensuring all documents are accurately filed and easily accessible.
    • Manage photocopying, faxing, and other office tasks as required.
  • Legal Documentation and Procedures:
    • Assist fee earners by preparing legal documents, correspondence, and reports as necessary.
    • Ensure a comprehensive understanding of legal office practices, departmental manuals, and office procedures.
  • General Office Support: Provide assistance with day-to-day office tasks, such as preparing documents for meetings, liaising with other departments, and supporting the smooth running of the office environment.
  • Client Care: Ensure that all client interactions adhere to the firm’s standards of professionalism, courtesy, and confidentiality.
Skills and Experience
  • Audio and Copy Typing: High level of proficiency in audio typing with a focus on accuracy and speed.
  • Client Interaction: Excellent interpersonal skills, with the ability to deal with clients in a calm, efficient, and empathetic manner.
  • Communication: Strong verbal and written communication skills, with the ability to explain complex legal concepts clearly and concisely.
  • Technology Skills:
    • Advanced knowledge of Microsoft Word and other Microsoft Office applications.
    • Familiarity with office equipment (e.g., fax machines, photocopiers) and legal software.
  • Organisational Skills: Excellent organisational and time management skills, with the ability to prioritise tasks and manage a busy workload effectively.
  • Attention to Detail: High level of accuracy in typing, filing, and document preparation.
  • Confidentiality: A strong understanding of the importance of confidentiality and discretion in handling client matters.
Knowledge
  • A comprehensive understanding of office practice, file management, and legal procedures.
  • Knowledge of relevant office and departmental manuals (if applicable), ensuring all office procedures are adhered to.
Additional Requirements
  • Experience: Previous experience in a legal secretarial role is preferred, but not essential for candidates with the relevant skills.
