Job Summary for Administrative Assistant

You will play a crucial role in supporting the daily operations. This position requires someone who is proactive, efficient, and capable of handling multiple tasks in a fast-paced environment. You will be responsible for document control, form completion, timesheet processing, and other administrative duties as required. This role is essential in ensuring smooth and efficient office operations, contributing to the overall success of the business.

Key Responsibilities for Administrative Assistant

  • Organise, maintain, and file documents in both digital and physical formats.
  • Ensure proper filing systems are in place for all project-related documents and records.
  • Maintain accurate and up-to-date records of all incoming and outgoing documents.
  • Complete and process various forms and paperwork in line with company procedures.
  • Ensure that all forms are filled out accurately and in a timely manner.
  • Process timesheets for employees in a timely and accurate manner.
  • Ensure compliance with company policies and payroll deadlines.
  • Answer phone calls, respond to emails, and handle general office inquiries.
  • Assist with scheduling meetings and appointments as needed.
  • Order office supplies and manage inventory.
  • Provide general administrative support to senior staff as needed.
  • Support with preparation of reports, presentations, and other business documents as requested.
  • Perform any other administrative duties or tasks as needed to ensure smooth office operations.

Key Skills and Competencies for Administrative Assistant

  • Proven experience as an administrative assistant or in a related role.
  • Experience submitting Local Authority section 50 applications highly desirable.
  • Strong attention to detail and organisational skills.
  • Ability to handle multiple tasks simultaneously and meet deadlines.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Previous experience in a utility infrastructure or construction environment is advantageous but not required.
  • Strong work ethic and positive attitude.
  • Ability to adapt to changing priorities and tasks.
  • Self-motivated and able to work independently with minimal supervision.
  • Excellent problem-solving skills and initiative.
