We are looking for an Events Assistant to join a leading international creative event studio based in Guildford. From brand activation to corporate engagement, the business operates a 'creative first’ strategy, specializing in creating inclusive, meaningful and memorable experiences that cater to diverse, multi-generational audiences.

The Events Assistant will be ambitious, driven, and passionate about events, with an active desire to learn more about the industry.The Events Assistant will play an essential part in the design and delivery of all events, from concept to completion. This is an excellent opportunity to be fully immersed in the event industry, frequently working on large-scale, international events with high profile clients.

Key Responsibilities:

Day-to-Day Tasks:

  • Attend client meetings and contribute to the planning process

  • Assist with all event administration (returns,orderingetc)

  • Maintain office stationery stock levels, ordering when required

  • Take minutes during meetings and share with the wider team

  • Assist the warehouse team with event prep (van packing, event orders etc)

  • Manage ongoing supplier relationships, ensuring exceptional service and communication

  • Liaise with suppliers to coordinate event logistics

  • Respond to incoming event inquiries promptly and professionally

  • Travel to on-site inspections as needed.

  • Research venues, suppliers, and contractors to ensure a dynamic and engaging supply chain

  • Monitor the purchasing inbox and ensure all deliveries are running to time

On the Day of the Event:

  • Assist with event setup (get-in), live event management, and post-event breakdown (get-out)

  • Work with event crew to load and unload event

  • Coordinate with outside suppliers and acts to ensure seamless integration

  • Liaise with the venue to manage logistics and event flow

  • Work with the Event Lead to ensure the event runs smoothly and on schedule

Post Event:

  • Contribute to post-event evaluations and gather feedback for improvement

  • Circulate post-event feedback to all relevant parties

Qualifications:

  • Previous experience in a similar events environment or a qualification in an events-based subject ishighly desirable

  • Excellent verbal and written communication skills

  • Ability to manage multiple tasks and work under pressure

  • Excellent relationship-building skills with clients, venues, and suppliers

  • A keen eye for detail and a passion for creating exceptional experiences

  • Flexibility to travel and work on-site as required
