A fast-paced company located near Guildford, Surrey, is seeking a highly organized Executive/Personal Assistant to support the Managing Director as he expands the business through franchising across the UK. This role requires a proactive individual who can keep up with the MD's busy schedule and provide assistance in both personal and business matters.

Key Responsibilities:

  • Manage the MD's complex diary efficiently, ensuring timely follow-up on meetings and appointments.
  • Produce high-quality documents, including manuals, training materials, and presentations.
  • Maintain accurate records and document processes and procedures within the organization.
  • Oversee multiple busy email inboxes and manage communications effectively.
  • Process expenses by collating, checking, and reconciling as needed.
  • Organize and maintain filing systems for personal and business documents.
  • Handle voice mails and phone calls promptly.
  • Manage incoming post and communications.
  • Control office stationery and supplies inventory.
  • Coordinate with third-party service providers, such as cleaners.
  • Manage phone contracts and communications.
  • Organize postal services, including Royal Mail.
  • Arrange hotel bookings and travel accommodations.
  • Prioritize tasks effectively to ensure smooth operations.
  • Provide dictation support as needed.
  • Welcome visitors and offer refreshments.

Experience Required:

  • A minimum of 5 years of experience in supporting a Managing Director or similar role.
  • Experience in a franchise environment is advantageous.
  • Familiarity with reading financial statements is a plus.
  • A positive, friendly demeanour with a high-energy, can-do attitude is essential.
  • Strong references are required.
  • Driving licence with car due to office location
