Overview:

An exciting opportunity to join a leading legal firm in Guildford!

We are currently seeking a highly organised and proactive PA with residential property knowledge to join the dynamic team.

You will provide direct support to the fee earners and enable them to operate at optimum efficiency and to provide wider administrative support when required.

Responsibilities:

  • Handle and manage transaction completions, ensuring accuracy and compliance with relevant regulations
  • Prepare completion statements and address any outstanding financial queries
  • Manage post-completion tasks, including filing and submission of documents
  • Communicate with clients and other parties to provide updates on progress and address any questions or concerns
  • Prepare correspondence and documents, including transcribing digital dictation
  • Provide general administrative support, including filing, document preparation, and correspondence management
  • Make appointments, arrange meetings, and maintain an up-to-date diary
  • Support other secretaries and provide guidance when required
  • Attend to clients both in person and over the phone, maintaining a professional and friendly manner
  • Operate the firm's case management system and consider improvements to department efficiency

Skills Experience:

  • Previous Legal Secretarial experience, including least 2 years in commercial property matters
  • Experience with Companies House and Land Registry applications/processes
  • Advanced IT skills, including DocuSign and data room software
  • Excellent typing skills and high accuracy levels
  • Excellent interpersonal and communication skills
  • Knowledge of case management systems
  • Familiarity with law/legal practise
