Legal Secretary / PA

  • Annual Salary: £27,000-£32,000+ (DOE)
  • Location: Guildford
  • Job Type: Full-time, Office-based with occasional remote work

We are seeking a highly skilled and experienced Legal Secretary or Personal Assistant (PA) to join our Business Law department (BLD), specifically within the Banking team. This role is crucial for providing direct support to fee earners to enhance operational efficiency and offering administrative support across the department.

Day-to-day of the role:

  • Manage and handle transaction completions with support from fee earners.
  • Prepare and manage completion statements and address financial queries post-completion.
  • Oversee all post-completion tasks including timely filing and submission of documents with relevant authorities like Companies House and HM Land Registry.
  • Communicate effectively with clients, third-party solicitors, and other relevant parties, providing updates and addressing queries.
  • Ensure compliance with all relevant regulations and legal standards, including AML and data protection laws.
  • Prepare correspondence and manage digital dictation transcription.
  • Administer daily filing and manage the lifecycle of client files as per office procedures.
  • Handle mail dispatch, copying, appointment scheduling, and meeting arrangements.
  • Provide support and guidance to other secretaries and manage client matters independently in the absence of fee earners.
  • Attend to clients in person and via telephone, maintaining the firm’s standards for client care.
  • Undertake general administrative duties including document preparation and filing.
  • Engage in continuous self-development and training as required.
  • Maintain confidentiality of all firm and client documentation and information.
  • Operate and manage the firm’s case management system and consider departmental efficiency improvements.

Required Skills & Qualifications:

  • Substantial legal secretarial experience, with at least 2 years in commercial property matters.
  • Experience with Companies House and Land Registry applications/portal processes.
  • Advanced IT skills, including proficiency in DocuSign and data room software such as Egress.
  • Excellent typing skills and the ability to keep up with fee earners’ work production.
  • High accuracy levels and a proactive approach to work.
  • Excellent client service skills and the ability to interact well with both internal and external clients.
  • Ability to work under pressure, prioritise workloads effectively, and manage multiple tasks and deadlines.
  • Demonstrates commitment to the firm and a genuine interest in legal work.
  • Courteous and respectful interaction with all colleagues and clients.
