Legal Secretary (Residential Property)

We are seeking a dedicated Legal Secretary to join our Residential Property team in Guildford. This role involves providing comprehensive legal secretarial and administrative support to our solicitors and lawyers, ensuring efficient management of day-to-day tasks and maintaining high standards of client service.

Day-to-day of the role:

  • Administer files including opening, closing, storage, and retrieval in line with the firm’s procedures.
  • Accurately record information in the practice management system as provided by lawyers.
  • Prepare pre-contract bundles, handle pre and post-completion documentation, statements, paperwork, and registrations.
  • Draft letters, documents, and forms for review by lawyers.
  • Manage daily diaries for self and lawyers, input key dates, and manage follow-ups.
  • Organize appointments, meetings, and room bookings, including arranging necessary refreshments.
  • Handle correspondence during lawyers’ absence and assist clients with updates on their cases.
  • Plan and book travel for lawyers as required.
  • Maintain accurate and up-to-date filing and data entry in the practice management system.
  • Assist in the billing and credit control process, produce financial/time reports, and mail out client invoices.
  • Manage incoming and outgoing mail, monitor and order stationery supplies, and take responsibility for meeting room bookings and setup.

Required Skills & Qualifications:

  • Accurate typing speed of at least 60 words per minute.
  • Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with legal research tools and case management systems.
  • Understanding of legal terminology, documentation, and processes.
  • Excellent communication, organisational, and team skills.
  • High attention to detail and ability to work under pressure to meet tight deadlines.
  • Flexible, dependable, and able to take initiative.
  • Conscientious, approachable, and enthusiastic with a solutions-focused approach.
  • Ability to work independently and build confidence, respect, and trust with others.
