A well-established property firm in Guildford are looking to recruit a property manager for their team. The role encompasses two primary domains: Property Management and General Administration, with tasks requiring attention to detail, excellent organisational skills, and proficiency in property management processes and software.

Key ResponsibilitiesProperty Management
  1. Maintenance Coordination

    • Handle maintenance requests and issue work orders to contractors.
    • Select contractors based on job requirements and landlord preferences.
    • Request and review quotes for necessary works.
    • Process invoices and close work orders once tasks are completed.
  2. Tenancy Management

    • Schedule and conduct inventories, check-ins, and check-outs.
    • Issue vacating letters for end-of-tenancy procedures.
    • Send inventories to landlords and tenants and address tenancy-related concerns.
    • Handle deposit negotiations and release processes, including DPS (Deposit Protection Service) compliance.
  3. Utility and Certification Management

    • Update utility companies with tenant changes and meter readings.
    • Book and manage compliance certificates: EICRs, Gas Safeties, and EPCs.
    • Coordinate remedial works based on inspection results and notify local councils about failed certificates.
  4. Property Inspections and Visits

    • Schedule and conduct property inspections using software like Inventory Hive.
    • Report findings to landlords and resolve any tenancy issues or breaches.
    • Ensure properties are clean and ready for new tenancies, with keys and documentation prepared.
  5. Legal Compliance

    • Serve Section 21 notices where required.
    • Maintain records of contractor credentials and Public Liability Insurance.
General Administration
  1. Applicant and Tenancy Management

    • Register and qualify potential tenants.
    • Organise and conduct property viewings.
    • Draft and send tenancy agreements via DocuSign.
  2. System and Process Management

    • Set up and maintain contractor profiles in the internal system.
    • Prepare tenant move-in packs, including appliance manuals and checklists.
Ideal Candidate
  • Experience: Proven background in property management with knowledge of tenancy laws, maintenance processes, and utility coordination.
  • Skills:
    • Strong communication for liaising with landlords, tenants, and contractors.
    • Familiarity with property management software (e.g., Inventory Hive) and tools like DocuSign.
    • Ability to multitask and manage schedules effectively.
  • Knowledge:
    • Expertise in handling legal notices like Section 21.
    • Understanding of DPS and compliance standards for certifications.
