Administrative Assistant

We are seeking an Administrative Assistant to join our large and supportive team. This role is ideal for someone who is resilient, can maintain high levels of confidentiality, and is capable of managing a varied workload in a dynamic environment. The position is primarily office-based with some flexibility for occasional remote work.
Day-to-day of the role:
- Manage the team inbox, addressing safeguarding concerns and other queries efficiently.
- Signpost and direct queries using the organisation’s email system, primarily Outlook.
- Input referrals into bespoke systems accurately and within set deadlines.
- Coordinate with the duty manager to prioritise and manage daily tasks.
- Navigate various systems to manage and prioritise workload, often using templates for data requests and formatting.
- Take minutes in meetings, requiring a basic understanding of safeguarding terminology and the ability to capture key action points accurately.
- Plan and organise meetings, send out invites, and attach necessary documents.
- Work closely with senior staff members and participate in daily catch-up meetings with the manager to discuss duties for the day.
- Maintain and update the annual leave tracker and staff rotas.
- Handle ad hoc tasks and provide support during meetings as needed.
Required Skills & Qualifications:
- Strong administrative skills with the ability to handle confidential information.
- Proficiency in using Microsoft Outlook and other office management systems.
- Excellent organisational skills and the ability to meet deadlines.
- Good communication skills and the ability to work effectively as part of a team.
- Resilience and the ability to leave work at work.
- No prior social care knowledge required as training will be provided, but it is desirable.
