About the Role

As a Bid Administrator, you will play a crucial role in managing bid inboxes and assisting the Estimating Manager and Bid Manager in compiling bids. You will be involved in various aspects of the bidding process, including attending meetings and gathering essential information from Operations and suppliers as required.

Key Duties and Responsibilities

  • Manage and organise bid inboxes, ensuring all incoming bid opportunities are properly tracked and responded to in a timely manner
  • Assist the Estimating Manager and Bid Manager in compiling comprehensive and competitive bids
  • Attend internal and external meetings related to bidding processes and opportunities
  • Gather and collate information from Operations and suppliers to support bid development
  • Maintain accurate records of all bid-related activities and documentation
  • Ensure compliance with bidding procedures and company policies
  • Coordinate with various departments to ensure all necessary information is included in bids
  • Proofread and format bid documents to maintain a high standard of quality and professionalism
  • Monitor deadlines and ensure all bids are submitted on time
  • Assist in the analysis of successful and unsuccessful bids to improve future bidding strategies

Candidate Requirements

Skills

  • Excellent written and verbal communication skills
  • Strong organisational and time management abilities
  • Attention to detail and accuracy in handling numerical data
  • Proficiency in Microsoft Office Suite, especially Excel and Word
  • Ability to work effectively in a team environment
  • Strong interpersonal skills and the ability to liaise with various stakeholders
  • Analytical and problem-solving skills
  • Ability to work under pressure and meet tight deadlines
  • Good commercial awareness

Education

  • HND in English or currently studying towards this qualification
  • Alternatively, a comparable qualification in a related field such as Business Administration or Communications may be considered

Experience

  • Previous experience in a similar administrative role, preferably in a bidding or tendering environment, would be advantageous but not essential
  • Familiarity with the construction or related industries is a plus

Salary

To be negotiated based on experience and qualifications
