POST TITLE: Careers Co-ordinator
RESPONSIBLE TO: Head of Higher Education and Careers Department
RESPONSIBLE FOR: Assisting the Head of Higher Education and Careers and other members of the Department in the implementation and augmentation of the programme of Careers, Higher Education, Information and Guidance throughout the school
DUTIES: The postholder will:
- Be the first point of contact for all visitors to the Careers Department
- Assisting students with queries and signposting them to the appropriate person/resources
- Assist with the organisation and administration of events for the Careers Department to include
- Annual Careers Evening o Annual Higher Education Fair
- Annual subject specific events o Lunchtime Talks
- Other ad hoc events
- Organise the Sixth Form Programme in relation to Life Advice which includes
- Administration of the timetable, booking speakers, organise staffing, arranging and recording of registers, room bookings, resources and distribution of relevant publicity
- Attend Careers lessons when required, presenting and supervising external visitors
- Organising transport for speakers as required o Issuing speaker invitations and thank you emails and chasing up student absentees working alongside the registration officer
- Ensure that the resources in the Careers library are up to date, relevant and are prepared, displayed and correctly shelved to encourage accessibility
- To order books as appropriate
- Organise and timetable interviews and monitor the completion of all Morrisby (Y11 & Y12) student profiling questionnaires
- Liaising with teaching staff to ensure the timely completion of the questionnaires before interview
- Ensure that all interview notes are completed following interview
- To assist in the smooth running of the Careers UCAS provision including updating the staff and student UCAS packs ensuring all information is up to date, accurate and relevant
- Distribute all packs to staff and students
- Liaise with the Catering Manager to organise menus and book lunches and refreshments for all department events including the Careers Evening, the HE Fair and guest speaker events
- Attend and take minutes for the weekly department meeting and circulate as appropriate
- Update and collate the annual department brochures, prospectuses and booklets
- Liaise with the relevant staff and Marketing Department to produce required information in a timely manner
- Create required Dates Approval Forms on Operoo for Careers activities and ensure risk assessments are completed where necessary
- Update and maintain the information on the Pupil SharePoint Careers pages on a regular basis
- Help coordinate the work of the Careers Student Ambassadors to provide Careers Department information and articles for the alumnae newsletter and the RedReview
- Provide the Careers Ambassadors with relevant material for running bi-weekly Careers Club in the Junior School
- Maintain the Careers noticeboards in the Careers Room, Sixth Form Library and the corridors
- Carry out administrative and clerical duties appropriate to the role, to include photocopying, ordering stationery and books, filing, room and catering bookings, circulating agendas and typing and distributing minutes, completion of relevant paperwork for events and disseminating information throughout the school
- Use the alumnae database to research ex-pupils for speakers and events
- Liaise with the Alumnae Coordinator to maintain effective communications and sharing of information
- Update and maintain the alumnae leavers destinations spreadsheet for tracking of students post A Level
- Maintain confidentiality of all sensitive material and information
- To work collaboratively with other staff including teaching and school administration staff
- Carry out any other such reasonable duties as may be determined by the Head of the Higher Education and Careers Department within the scope of the post
- Take part in staff training and performance review meetings as required
- This job description is subject to annual review by the Head of Department, in liaison with the postholder, to ensure that it is kept up to date and relevant
- Any changes in substance or interpretation will be implemented after consultation with the postholder
- To adhere to School policy on safeguarding and updating training as required
- To ensure the safeguarding and well-being of children and young people at the School in accordance with School policies
