Purpose and scope of the role:
The main purpose of this role is to provide administrative assistance and support to the Head of HR in delivering an efficient and comprehensive HR function.
Main duties and key responsibilities:
The list below is not an exclusive or exhaustive list of duties and the role holder will be expected to perform different tasks as may reasonably be necessitated by his/her changing role within the organisation and the overall business.
Primary responsibilities:
- Drafting and posting job advertisements.
- Assist with the recruitment process, supporting managers by sifting through CV’s, liaising with recruiters and scheduling interviews as necessary.
- Drafting offer letters, employment contracts and other onboarding documentation.
- Take new employee references and respond to incoming reference requests.
- Support the Employee onboarding process (production of new starter packs, coordinating onboarding schedules and diarisation of new starter reviews).
- Support the internal performance review process by ensuring reviews are diarised, completed and records filed in a timely manner.
- Assist with exiting employees, drafting resignation acknowledgements and attending/conducting exit interviews as required.
- Produce monthly absence reporting.
- Liaising with managers across the business to ensure all timesheets are completed and approved in line with our payroll schedule.
- Coordination and management internal employee events and activities (to include HR events/activities and internal training sessions).
- Ensure all employee details are up to date and the data held is accurate within our HR system whilst maintaining confidentiality and security.
- Administration of employee training and development activities (maintaining records, managing requests, booking courses, obtaining feedback of courses attended).
- Assist with apprenticeship and intern programs.
- Assist with updating the Employee Handbook (assist with drafting new polices/reformatting the handbook as required).
- Distribution of employee paperwork.
- Management of the Eye Care Voucher scheme.
- Taking notes at formal HR meetings, providing a clear and accurate record of anything discussed.
- Assist with the management and distribution of keys and fobs.
- Coordination of DSE Assessments.
- Participate in HR projects (e.g. help organise and attend recruitment events etc)
- Provide general administrative support to the Head of HR as required.
- Attend/undertake training as required.
- Attend weekly global HR team meetings
- Other ad-hoc tasks that may be asked of you from time to time
Travel This role is based at HQ in Harlow, however occasional travel to our other UK locations or to HR events is required.
