Our client, A specialist water treatment company within the UK are looking to hire an exceptionally experienced Operations Assistant to join their team based in Hartlepool
The successful candidate will have a minimum of 5 years’ experience in Operations/administration based roles as well as being a good communicator adept with both computer, and problem-solving skills.
Hours: 08.30 to 17.00 Monday to Friday
Main Responsibilities of this role would include:
- Manage the day-to-day diary of the engineers, book appointments directly with our clients and ensure the work is logistically efficient.
- Inform engineers of their day-to-day diary two weeks in advance and populate in their tablets.
- Make all hotel bookings ensuring cost effective.
- Reschedule appointments as required liaising with both engineers and clients.
- Answers phones and direct calls
- Record information in the CRM system and work with the company bespoke Safewater system.
- Maintain up to date records of engineers completed tasks and provide engineers with updated list ahead of site visit.
- Update client spreadsheets with live information regarding access and no access visits.
- Maintain customer confidence and protect operations by strict confidentiality.
- Review approvals in the Safewater system daily and be familiar with control levels and need to ensure any deviation are recorded and reported.
- Administrative set of tasks to ensure engineers work runs smoothly.Â
- Complete tasks as identified by the Account Manager, supporting various projects.
The Ideal candidate must have:
- Knowledge of geography/logistics for national travel of engineers
- Excellent organisational and time management skills
- Ability to be proactive, and handle uncertainty.
- Excellent verbal and written communication skills.
- Proficient in Word, Excel, Outlook, and Microsoft Office
- Experience of CRM system and other management systems.
- Proven ability to juggle multiple jobs/tasks at a time, while maintaining sharp attention to detail
- Ability to understand client requirements.
- Ability to build rapport and collaborate with others within the company and externally.
- Keeping stakeholders informed of project timelines and deadlines.
- Ability to learn quickly and work under pressure in a fast-paced environment.
- Good working ethics and ability to treat documents with confidentiality.
