Role Overview:As a Scheduler and Service Administrator, you will play a pivotal role in ensuring the smooth operation of our fire alarm maintenance services. You will manage the scheduling of engineers, coordinate service calls, and provide administrative support to ensure our clients receive timely and professional service. Key Responsibilities:
  1. Scheduling and Coordination:
  • Plan and assign maintenance and service jobs to engineers, optimizing their schedules for efficiency.
  • Respond to emergency call-outs and coordinate urgent service requests.
  • Monitor and manage the service calendar to ensure deadlines and SLAs are met.
  1. Customer Service:
  • Act as the first point of contact for clients, handling inquiries and service requests professionally.
  • Keep clients informed of scheduled visits, changes, and updates.
  • Address client concerns promptly and escalate issues when necessary.
  1. Administrative Support:
  • Maintain accurate records of service visits, repairs, and client interactions in the CRM system.
  • Prepare and distribute job sheets, quotes, and service reports.
  • Manage inventory levels and order necessary parts or equipment for engineers.
  1. Compliance and Documentation:
  • Ensure all documentation is compliant with UK fire safety regulations and company standards.
  • Assist in preparing compliance reports and certificates for clients.
  1. Team Support:
  • Liaise with engineers and management to resolve operational challenges.
  • Provide input to improve processes and enhance service delivery.
 Skills and Qualifications:
  • Proven experience in scheduling, administration, or a similar role, preferably in the fire safety, maintenance, or service industry.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in using scheduling software and CRM systems.
  • A proactive and problem-solving mindset.
  • Knowledge of fire safety systems and regulations (preferred but not essential).
