- Scheduling and Coordination:
- Plan and assign maintenance and service jobs to engineers, optimizing their schedules for efficiency.
- Respond to emergency call-outs and coordinate urgent service requests.
- Monitor and manage the service calendar to ensure deadlines and SLAs are met.
- Customer Service:
- Act as the first point of contact for clients, handling inquiries and service requests professionally.
- Keep clients informed of scheduled visits, changes, and updates.
- Address client concerns promptly and escalate issues when necessary.
- Administrative Support:
- Maintain accurate records of service visits, repairs, and client interactions in the CRM system.
- Prepare and distribute job sheets, quotes, and service reports.
- Manage inventory levels and order necessary parts or equipment for engineers.
- Compliance and Documentation:
- Ensure all documentation is compliant with UK fire safety regulations and company standards.
- Assist in preparing compliance reports and certificates for clients.
- Team Support:
- Liaise with engineers and management to resolve operational challenges.
- Provide input to improve processes and enhance service delivery.
- Proven experience in scheduling, administration, or a similar role, preferably in the fire safety, maintenance, or service industry.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Proficiency in using scheduling software and CRM systems.
- A proactive and problem-solving mindset.
- Knowledge of fire safety systems and regulations (preferred but not essential).
