Andy File Associates Limited is working as a Recruitment Agency on behalf of our client with regards this permanent position.

Our client was founded in 2003, and they are a privately-owned specialist in logistics and freight forwarding, excelling in worldwide, time-critical logistics solutions.

Their team is dedicated to delivering on-time, customised event transport solutions to valued clients spanning the world of Live Touring, Theatre, Film, TV and Sport. They work closely with their clients to deliver the most budget-efficient, time-sensitive solutions, based on the individual requirements of each project.

They are now looking for a new member of staff to join them:

Finance Assistant

Responsibilities

  • Support the Finance Manager and undertake any reasonable ad-hoc requests by your manager.
  • Monitor multiple inboxes and react in a timely manner to emails and queries from customers and suppliers.
  • Match bank account and credit card transactions in Xero.
  • Obtain current exchange rates daily and update in BoxTop.
  • Match supplier invoices to costs in BoxTop against the correct job and query any discrepancies and escalate when needed.
  • Transfer supplier invoices from BoxTop to Xero once costs have been matched correctly.
  • Ensure all overhead invoices are correctly authorised and posted to Xero in a timely manner.
  • Reconcile supplier statements in a timely manner.
  • Produce a payment run schedule ready for approval from the Finance Manager.
  • Promptly transfer sales invoices from BoxTop to Xero.
  • Credit Control tasks including chasing overdue Invoices and phoning customers.
  • Investigate and resolve outstanding creditors and debtor items without delay.
  • Request invoices or remittances for any unallocated payments.
  • Send customer statements regularly ensuring payments are received on time and chase overdue payments weekly.
  • Produce a weekly debtors report and highlight any issues to senior management.
  • Reconcile company credit card purchases in a timely manner.
  • Maintain job related expenses in BoxTop and Xero.

Essential Skills, qualifications and experience

  • Minimum of two years experience in a similar role.
  • Excellent IT skills with experience of working with Microsoft Office packages and an intermediate to advance practice of Excel skills
  • Proficient in using Xero accounting software.
  • Experience of using freight software is advantageous.
  • Previous experience of working with multiple currencies is desirable.
  • Attention to detail and accurate data inputting skills.
  • Proactive with an ability to organise own workload.
  • Strong time management skills with an ability to work under pressure when adhering to competing deadlines.
  • Ensure that all accounts receivable activities comply with relevant financial policies and procedures.

  • Ability to work independently and as part of a team.
  • Self-motivated and professional with a confidence to work effectively on their own.
  • Positive attitude with the ability to assess any issues and come up with solutions
  • Demonstrable honesty and integrity as the Finance Assistant will be working with highly confidential information that cannot be disclosed.
  • Display a willingness to learn new processes and train.
  • Excellent communication skills (verbal and written).
  • Team player.
