What are they looking for?
- Experience as a PA or EA to a C-suite member, ideally in a law firm or professional services.
- Strong organisational and communication skills, professionalism, and a proactive attitude.
- Ability to remain calm under pressure and adapt to changing circumstances.
- Proficiency in managing busy schedules and multiple inboxes.
- Excellent time management and prioritisation skills.
- Attention to detail with high accuracy in numeracy and literacy.
- Commitment to confidentiality and effective communication with stakeholders.
- Ability to produce high-quality reports and presentations.
- Experience with board and committee governance meetings.
- Familiarity with legal terminology (desirable).
- Advanced skills in Microsoft Office and knowledge of legal software (e.g., LEAP).
Responsibilities as a Senior Executive Assistant:
- Financial Support (Dance Company): Prepare and monitor budgets, issue invoices in line with production contracts, reconcile incoming invoices, and prepare payments for approval, while also managing expenses.
- Financial Support (Law Firm): Process and draft invoices, provide backup support to the legal cashier in preparing payments for approval and release, and maintain accurate client ledgers.
- Calendar & Meeting Management: Manage the Partner's calendar by organising appointments, scheduling meetings, preparing agendas, and taking minutes to ensure effective use of time and resources.
- Communication Liaison: Serve as the primary point of contact for internal and external stakeholders, managing correspondence professionally and assisting in the implementation of management policies.
- Administrative Support: Coordinate travel arrangements, process visa applications, and assist with special projects as needed.
- Information Management: Oversee email inboxes, manage and file documents, and uphold confidentiality in all correspondence.
- Business Development: Support event planning initiatives and assist with updates to LinkedIn profiles.
