Contracts Coordinator - Hemel Hempstead

We are seeking a Contracts Coordinator to join our client's team in Hemel Hempstead. This role involves supporting the Operations Teams by managing contracts, client communications, and data management. The ideal candidate will have experience in an operational or contracts environment and possess strong numerical and organisational skills.

Day-to-day of the role:
  • Create new support and maintenance proposals and administer contracts within Astea.
  • Prepare and send contract renewal quotations monthly, 90 days in advance of expiry.
  • Maintain proactive and timely communication with both existing and new clients.
  • Update the Astea contracts database with contact, financial, and service level changes.
  • Manage and audit contract costs including licenses and other services.
  • Provide monthly contract revenue and profitability forecasts.
  • Monitor and report on SLA performance to the management team.
  • Manage and process contract costs to enable a three-way match by accounts.
  • Respond to contract queries from customers and internal departments.
  • Ensure accurate and meaningful reports are supplied at agreed intervals, including active and quoted contract revenue data.
  • Resolve contract complaints, request credit notes, and reissue invoices as necessary.
  • Improve operational processes and activities to maximise operational efficiency.
  • Reconcile operations staff timesheets and overtime reports.
  • Liaise with compliance and Accounts to set up new vendors.
Required Skills & Qualifications:
  • Previous experience in an Operational/contracts environment.
  • Highly numerate with a sound understanding of financial data and reporting.
  • Organised and detail-oriented.
  • Ability to multi-task and prioritise tasks according to business needs.
  • Intermediate or advanced knowledge of MS software, particularly Word and Excel.
  • Team player with a friendly and helpful disposition.
