Job Summary
We are recruiting on behalf of a local authority business based in Apsley, on the hunt for a Support Officer to join their adult care services department. The Support Officer will provide critical business and administrative support to individuals, teams, and departments within the HV Integrated Rapid Response to Recharge service. This role ensures efficient operations while maintaining professionalism and confidentiality in a fast-paced environment.
The responsibilities of the Support Officer include, but are not limited to:
Software and Documentation:
* Utilise software such as Microsoft Office to prepare letters, documents, and reports according to statutory and legal requirements.
Database and Records Management:
* Update and manage databases and spreadsheets.
* Provide reports and assist in compiling information, including statutory returns.
* Track and manage expenditure records.
Support for Senior Officers and Managers:
* Provide professional support on sensitive and confidential matters.
* Act as the first point of contact, answering telephone calls and providing accurate information.
Administrative Duties:
* Perform general administrative tasks such as note-taking, minute-taking, filing, faxing, scanning, and photocopying.
* Handle correspondence, invoices, cash handling, and timesheets, following local procedures.
Scheduling and Coordination:
* Manage team schedules and commitments to avoid conflicts.
* Arrange meetings, training sessions, venues, and prepare agendas.
Supervisory Responsibilities:
* Supervise the workload of the Assistant Support Officer and provide cover for their responsibilities, including reception and visitor management, during absences.
Person Specification
* Proven administrative experience, particularly using Microsoft Office software.
* Strong organizational and customer care skills, confident in acting as the first point of contact for Managers.
* Self-motivated, professional, and approachable, with a commitment to delivering excellent team support.
* Willingness to take on a variety of administrative tasks, following local procedures.
Desirable Attributes:
* Additional qualifications or experience in administrative or office support roles.
* Familiarity with tracking expenditure or handling statutory returns.
