Role OverviewThis key position is part of the operations team and requires close collaboration with all team members. Strong communication skills are essential for interacting with clients and suppliers, alongside excellent numeracy skills and keen attention to detail.

Main Responsibilities

  • Handle all operational and customer service tasks.
  • Manage and oversee bookings and shipments, ensuring smooth operations through effective communication with suppliers (via email and phone).
  • Generate invoices for customers and vendors.
  • Verify supplier invoices and ensure accurate data entry into in-house systems before processing payments.
  • Complete billing and payment transactions for both customers and suppliers.
  • Address invoice-related queries from customers and suppliers.
  • Ensure invoices are processed within agreed payment terms.
  • Maintain liaison with key internal stakeholders, including:
    • Customers
    • Suppliers
    • Sales, Product & Marketing, and Finance departments
    • Overseas branches
  • Escalate any concerns to the Operations Manager promptly.
  • Maintain accurate data management for all job orders.
  • Provide regular operational updates to management.
  • Deliver outstanding customer service and ensure high levels of customer satisfaction.
  • Continuously review and improve standard operating procedures (SOPs) and supplier lists.
  • Maximise efficiency in the billing cycle to enhance company profitability.
  • Work collaboratively within the team, supporting colleagues, clients, and suppliers.
  • Act in the company’s best interest at all times.
  • Perform additional duties as required.

Skills & Qualifications

  • Essential understanding of Seafreight operations.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Minimum of 2 years’ experience in freight forwarding or the 3PL industry.
  • IATA DGR certification is desirable.
  • Fluency in Business English and Mandarin (preferred).
  • Strong organisational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Methodical and systematic approach to work.
  • Positive and helpful attitude in all interactions.
  • High customer service orientation.
  • Ability to prioritise tasks and perform well under pressure.
  • Flexibility to adapt to a fast-paced environment.
  • Strong team player with the ability to take initiative and make decisions independently.
