As the Reporting, Communications & Resource Coordinator, you will support the Reporting Communication Resourcing (RCR) Manager in facilitating seamless communication, transparent reporting, and efficient external resource Planning and allocation for the projects within the Data Center Delivery department.

The role will be centralised within the Delivery Programme Management team with the primary objective of ensuring the projects progress are well documented and tracked, communication is streamlined, and the timely acquisition of skilled resources is achieved, facilitating smooth onboarding processes, and tracking and maintaining the status of contracts and purchase orders, as well as renewals and terminations as required.
 

Your Responsibilities

  • Collaborate with Project Managers and the RCR Manager to assess the project's external human resource demands, specific skill requirements, and project timelines
  • Support the RCR Manager in the resource acquisition process and team set-up, including vendor selection and screening
  • Initiate the onboarding process for newcomers by initiating approval workflows in the Coupa system and preparing the required documents
  • Liaise and collaborate with other departments IT and Security departments to ensure that necessary IT equipment and access is provided, HR, Procurement, Legal, etc. to resolve day-to-day queries and issues raised by external human resources
  • Support project managers and the procurement team in the ordering process and in submitting and extending the purchase requisitions
  • Create and maintain status overviews of external human resources' contracts and purchase orders
  • Coordinate contract renewal and termination processes with relevant departments in a timely manner
  • Assist the RCR Manager in coordinating regular department specific All Hands Calls to communicate important updates, initiatives, and achievements to all team members
  • Assist the RCR Manager in planning, scheduling, and organizing meetings of senior management or decision-making bodies to discuss strategic initiatives, review project progress, and make collective decisions
  • Track and oversee the reporting schedule for various projects within the DCD department, generate reports for senior leaders and disseminate messages
  • Ensure timely submission of reports and address any delays or discrepancies
     

Your Profile

  • Demonstrated experience in producing and communicating key messages in multi-layered organisations
  • Experience within the construction industry and awareness of project management processes and execution tools
  • Expert handling of Ms Office
  • Excellent English speaking and beneficial to have other languages
  • Exceptional organisational and time management skills to handle multiple projects, prioritise tasks, and meet deadlines
  • Excellent communication and interpersonal skills
  • Ability to work collaboratively with various departments and stakeholders in a fast-paced environment
  • Problem solving mindset and critical thinking skills
  • Possess deep analytical skills and the ability to translate and communicate complex data in a legible and presentable format
