Job Purpose:An administrative officer role with some HR responsibility, you will assist the HR Business Partner in providing support across the whole business and HR support to managers and all employees within the Company. This includes recruitment and selection; employee relations; learning & development; policy and procedures; reward; and project work as required.This is a support function role covering Operational Support and Human Resources.The role covers everything from minor administration duties to full-scale projects and ongoing responsibilities; involving interaction across all the business at all levels.Duties and responsibilities:To liaise with managers, employees and suppliers to arrange meetings, take meeting minutes and notes e.g. informal and formal meetings as requiredPrepare data and create mail merge letters for Companywide letters and mailingsTo prepare and submit newsletter articlesTo prepare and maintain departmental organisation chartsPlan and organise Company recognition of birthday and personal occasions, as appropriateTo manage the Long Service Awards - reviewing data, preparing and sorting awards, planning and coordinating the distributionTo calculate Attendance Recognition Awards and undertake all supporting admin and communicationMaintain and update employee noticeboardsTo complete general administrative duties, including scanning and filing to support the businessTo work as part of the office team, including, answering telephones, reception duties and maintain general standardsSupport the Steering Team with organisation and co-ordination of events, meetings and appointments.Responsible for the order of supplies e.g. Tea, coffee, milk, sugar and requests from Inplants to order from AmazonSupport with the arrangements for visitorsComplete monthly/quarterly reports where necessaryAssist the Finance Director with payroll reports each monthThe role will support HR across the UK and overseas intermittently (mostly Europe).Lead on one of the employee wellbeing benefits. Responsible for the vending machine in the canteen, refilling and liaising with colleagues what they would like to see in this.Responsible for the ordering of the products for the machine and banking the money each monthLead on the distribution of uniforms and tracking thisLead on the 'above and beyond' nominationsOrganise and facilitate Employee Forum MeetingsTo support with employee relations including writing letters compliant with policy and legislationSupporting the recruitment, selection, induction and onboarding processes for staffTo support the managers with the onboarding admin process, induction training and probation planning and review, ensuring provision and return of completed documentsTo prepare and collate completed induction (new starter) documentationCreate reports and required data for KPI tracking and HR AnalyticsManage and update personal and HR documentationManage the training records for People Management Training, uploading documentation as requiredSystem admin and personal gateway / log-onManage directories and contact informationAbsence Management - Supporting the HR BP with the absence management process, supporting managers to deliver the process (including OH referral), administration, monitoring and tracking.General HR projects and tasksTo support with employee learning and development planning and implementation, e.g. preparing training document packs, planning and coordinating training coursesEmployee Relations - supporting in grievance, disciplinary and absence meetings.
