Our client, a successful company based in High Wycombe, is looking for a Junior Project Co-ordinator to join their team - to communicate with Customers, Engineers, and Subcontractors to book Project and Installation works.
We are looking for someone with excellent customer service and communication skills.Mon to Fri 8.30 - 5 office based.
Main Responsibilities
- Liaising with engineers and subcontractors to ensure bookings are made for the correct amount of time and all relevant information is provided to the customer and Engineer
- Progress Project/Installation jobs on service management system
- Update engineer Outlook Calendar with correct information, referencing the job number and any other key information
- Create and forward RAMS, Booking Forms and Permits for all required appointments
- Raise purchase orders as necessary for subcontractors to attend jobs
- Raising of Call Actions for every call in order to send relevant communication to customer i.e, order acknowledgement, booking date, etc.
- Ensure all subcontractor paperwork is received in a timely manner and uploaded to the applicable call
- Check that parts have been delivered prior to an engineer visit
- Ensure that all works as per the order are completed within a timely manner of call completion by the engineer or subcontractor
- Maintain accurate customer records on company CRM system. Keeping up to date notes on every call
Requirements:
- Experience of diary and geographical schedule management preferable
- Proven record of building relationships with customer base
- Clear, accurate and timely communication skills
- Prioritise tasks and manage time effectively. You must be able to multi-task and have excellent organisational skills
- Flexible within job role and be able to approach all tasks confidently
