We are seeking a highly organized and proactive Administrative Assistant to play a crucial role in the smooth operation of our office.

This is a part time role working hours will be 5 hours per day from 9am to 2pm Monday to Friday (25 hours per week)

As the backbone of our team, you will ensure that our administrative functions run efficiently, supporting our mission to deliver exceptional service and support to our staff and clients alike. Key Responsibilities:

  • Clerical Support: Be the first point of contact for our office, managing phone calls, sorting and distributing mail, and preparing documents with precision.
  • File Management: Implement and maintain an efficient filing system, ensuring easy access to files and records for all staff.
  • Office Maintenance: Oversee the maintenance of office equipment and the premises, ensuring a clean, safe, and pleasant working environment.
  • Supply Management: Keep track of office supplies, placing orders as necessary to ensure we never run low.
  • System Management: Manage both online and paper filing systems, ensuring data is accurately recorded and easily accessible.
  • Uniform Inventory: Maintain the inventory for staff uniforms, ordering new supplies as needed.
  • Administrative Systems: Develop and implement new administrative systems to improve efficiency.
  • Meeting Coordination: Organize meetings, prepare agendas, and take minutes, ensuring all participants are well-informed.
  • Staff Training: Coordinate the assignment and organization of staff training sessions.
  • Customer Service: Handle customer inquiries and complaints with professionalism and care.
  • Data Protection: Ensure compliance with data protection laws and update policies as necessary.
  • Safety Compliance: Arrange for regular testing of electrical equipment and safety devices.
  • Ad Hoc Duties: Perform other related administrative duties as assigned by your line manager.
