Our client, a successful company based in High Wycombe, is looking for a Part Time Receptionist/Administrator to join them. The role is working Thursdays and Fridays (16 hours per week). As this is a job share, you will need to cover for the other Receptionist when on holiday on Mondays, Tuesdays and Wednesdays.
The role is paying £25k - £27k if full time.
Main Duties:
- Greeting visitors, providing refreshments and directing them to the correct person or department
- Managing the visitor's book and ensure all visitors to the building are signed in and out
- Answering enquiries by phone, in person and on email
- Managing meeting room bookings and providing refreshments
- Ordering/providing lunch orders for meetings when required e.g. board meetings.
- Management and distribution of any goods delivered to reception
- Managing the group's stationery requirements and placing on-line orders
- Organise 'on line' shop for kitchen/office provisions
- Opening, date stamping and sorting/distributing post as well as franking and sending out the daily post
- Book travel/hotel arrangements for staff with regard to cost efficiencies
- Support the HR department with administrative tasks
- Carry out administrative tasks for the wider business as required (e.g. Directors, Marketing)
- Reconcile HR Director's company credit cards
- Respond to building maintenance issues, keep an updated log and ensure issues are resolved satisfactorily and in a timely manner
- Liaise with facilities service providers to ensure they deliver an efficient service (e.g. cleaning company, facilities management company, coffee machines, office plants etc)

- Good spoken/written communication skills, excellent telephone manner
- Good organisational skills and attention to detail
- Good use of Microsoft office
- Be of smart appearance
- Ability to stay calm under pressure
- Able to manage multiple tasks
- Pro-active approach
