Are you organised, efficient, and ready to keep things running smoothly? We're recruiting for a Scheduler on behalf of a company based in Hook, Hampshire. This role is all about making sure Field Engineers and Technicians are in the right place at the right time, with everything they need to get the job done.

If you're great at coordinating people and resources, love variety in your work, and enjoy keeping customers happy, this could be the role for you!

As a Scheduler, you'll be the key link between customers, engineers, and the rest of the team. You'll handle service requests, schedule maintenance visits, and keep track of what's happening day-to-day to make sure customers get the support they need. This involves coordinating planned maintenance, assigning service calls, and ensuring every enquiry gets a prompt response. Your goal? Smooth operations and 100% customer satisfaction!

Key Responsibilities:

  • Take calls and emails, then organise the right engineer or technician to get the job sorted. Keep customers updated every step of the way.
  • Keep the maintenance schedule on track and make sure visits happen on time. Manage any overdue or upcoming maintenance and prioritise accordingly.
  • Keep the engineers' schedules up-to-date, confirm bookings within two days, and ensure they have all the details they need for each visit.
  • Make sure any instructions, notes, or required paperwork are sent to both the engineers and the customers before each appointment.
  • Arrange and confirm appointments with third-party contractors when needed, updating records and keeping everything well-documented.
  • Help manage any special security clearances or work permits needed for specific sites.
  • Coordinate ongoing projects and assist with invoicing when projects are completed.

What We're Looking For:

  • Previous experience in a service or scheduling role is a plus, but not essential.
  • Comfortable with Microsoft Office (Word, Excel, Outlook)
  • Great with people, both in person and over the phone.
  • Strong organisation, a quick problem-solver, and able to work independently or as part of a team
  • You're comfortable handling multiple tasks at once and meeting deadlines
