Job Tittle Project Support Officer 

Location - Horsham 

Full Time Monday - Friday 40 hours per week 

Reed Crawley is working with a key client based in Central Horsham who are seeking a dedicated and organised Project Support Officer to join their team on a temporary contract. The successful candidate will play a crucial role in organising, recording, following up, reporting, and guiding the flow of information for projects. This includes monitoring suppliers’ performance and manufacturing progress, as well as coordinating with internal project teams to ensure adherence to agreed specifications and deadlines.

Role and Responsibilities:

  • Document Management:
    • Monitor incoming and outgoing project documents/drawings.
    • Detect deviations and delays, record information, and report using the Expediting Master List (Excel-based).
  • Supplier Coordination:
    • Regularly contact suppliers to enquire about order progress and update the Expediting Master List.
    • Request, collect, and record evidence of suppliers’ progress.
    • Set up calls and video conferences to discuss progress and potential issues.
  • Reporting:
    • Review and analyse information provided by suppliers and report to the line manager.
  • Shipping/Logistics:
    • Review signed contracts and prepare a schedule of relevant shipping and payment documents.
    • Maintain and monitor the shipping document schedule to ensure timely availability.
    • Coordinate shipping document requirements between, customers, suppliers, shipping agents, and government custom agents.
  • Procurement Support:
    • Support the purchasing role as required.

Qualifications & Experience:

  • Work Experience:
    • 1 - 3 years of experience in a project delivery environment or similar, including project library, filing, recording, and reporting systems, as well as liaison with suppliers or customers.
  • Educational Requirement:
    • HND Level or equivalent.

Skills:

  • Excellent communication skills (written and oral)
  • Project administration and coordination skills
  • Ability to analyse and compile information

  • Proficiency in MS Suite, particularly Excel and Word
  • Ability to manage varying workloads and multi-task
