Export & Accounts Admin Assistant

The Role

As an Export & Accounts Admin Assistant, you'll play a vital role in the processing of export orders and provide essential support to the accounts team.

Key Responsibilities:

  • To assist and prepare Export Invoices and arrange online bookings with appropriate Couriers (for example, FedEx, DHL, UPS, etc.)
  • Calculating carriage charges with occasional carriage quote requests from the sales team
  • Forwarding invoices and confirmation of tracking details to customers, sending proforma invoices, and creating payment links
  • Updating and maintaining the export procedure manual
  • Scanning and filing
  • Support the accounts team when required, for example, checking and verifying supplier invoices. Entering supplier invoices, and setting up new sales and supplier accounts
  • Answering the telephone when the office is busy
  • Cover for staff absence
  • Undertake general ad-hoc administrative duties, within known capability, as and when required to ensure the department is adequately staffed

The Ideal Candidate

  • Prior export experience (preferred, not essential)
  • Proficient in Microsoft Excel to an intermediate level
  • Numerate ideally with a background in accounts or finance from a medium-sized business

  • Flexible and able to work under pressure when needed
  • Methodical, solution-oriented approach to problem-solving
