Position: Headteacher's Personal Assistant

Are you a highly organized, personable, and efficient administrator with a knack for managing priorities in a fast-paced environment? We're looking for an exceptional Headteacher's Personal Assistant to join a lovely secondaryb school in Hounlsow and play a pivotal role in supporting the headteacher, staff, and school community.

Main Purpose of the Role

As the Headteacher's Personal Assistant you will provide confidential and comprehensive administrative support to ensure the smooth running of the headteacher's day-to-day activities. You will be the first point of contact for staff, parents, governors, and other stakeholders who wish to connect with the headteacher, managing enquiries across multiple channels with discretion and professionalism.

Key Responsibilities

  • Communication and Enquiries Management
  • Manage a high volume of enquiries via phone, email, and in-person interactions, escalating as necessary.
  • Serve as the main point of contact for stakeholders, ensuring prompt and supportive responses.
  • Assist with managing the school's inbox, ensuring that responses meet expected timelines and are directed appropriately.
  • Administrative and Diary Coordination
  • As the Headteacher's Personal Assistant you need to coordinate the headteacher's calendar, prioritizing engagements and preparing necessary materials for meetings.
  • Prepare documentation, reports, and other information required for key meetings.
  • Manage the school's admissions process for Year 7, providing essential support to prospective families.
  • Information Management and Systems Support
  • Maintain organized records in both physical and digital formats.
  • Use and support the school's management information systems to ensure accurate record-keeping and data management.
  • Assist the Chair of Governors and support the school's governing body in administrative needs.
  • Written Communication and Correspondence
  • Draft, proof-read, and finalize outgoing communications, ensuring they align with the school's values and high standards.
  • Provide assistance with Microsoft Office applications to prepare presentations and reports.
  • Additional Responsibilities
  • Adhere to school policies on safeguarding, confidentiality, and data protection, always acting in the best interest of students and staff.
  • Support the headteacher and senior leadership team in various tasks as needed, contributing to the overall success of the school.

Qualifications and Skills
