Taskmaster Resources Ltd-working as main provider of non-academic temporary staff to the University of Huddersfield since August 2014-are currently looking to recruit an experienced and motivated administrator for a 2 month contract in the Registry department. (Contract may be extended into 2025)
Job Purpose
The main purpose of the role is to carry out administrative procedures as part of the student and course administration team and supporting the work of the wider service while providing excellent customer service. The post holder will have specific responsibilities for certain tasks and processes and will also assist with other duties in the same area of work including providing mailbox triage, email and phone cover. This post involves regular liaison with academic, support staff and external stakeholders and requires a high level of customer focus and attention to detail.
Main Duties and Responsibilities:
1. To carry out a range of routine administrative tasks within a defined area of work, maintain high standards of quality and take responsibility for own performance.
2. To provide a frontline enquiry point for advice and guidance to students, staff and other stakeholders. To deal with all incoming enquiries, whether by telephone, email, correspondence, in person or online, responding in a professional, courteous manner, triaging queries and referring them to other members of the team as appropriate.
3. To follow the established administrative processes within the student operations team and where weaknesses in policy or procedures are identified that affect the wider service and/or University, to escalate these as appropriate.
4. To support the needs of the student & course administration team to meet the requirements of stakeholders. This includes suggesting enhancements to processes where appropriate.
5. To maintain records and other information relating to the activities of Registry, including updating records in ASIS and undertaking standard processes within the student records system.
6. To undertake a variety of routine office management tasks including but not limited to, for example, collecting and distributing mail, monitoring stationery stocks, arranging meetings and filing records securely.
7. To develop and maintain a basic understanding of other areas of the sections work in order to be able to assist at busy periods and provide operational cover in the absence of colleagues.
8. To support the maintenance of comprehensive web-based information, ensuring information is accurate and timely and making updates to web pages as required
9. To process transactions through the finance system and/or online store, ensuring necessary authorisation is obtained and querying anomalies as necessary
10. To ensure all data is stored securely, accurately, confidentially and responsibly; to understand and adhere to personal responsibilities under GPDR.
11. To proactively contribute to the work of the whole Registry team, both routine operational tasks and in response to ad hoc requests or projects
12. To undertake additional duties, as required by the Director of Registry, appropriate to the grade
MON-FRI 8:30am-4:30pm (37 hrs per week)
