A supplier of high-quality metals and materials, the company specialises in the research and development sectors with a strong focus on science and industry. The technical teams have worked on materials that have contributed to scientific breakthroughs in nuclear fusion, the fight against COVID-19, and have been used in probes that have travelled through space as far as Saturn.

The Role

The role of PA to the Board is to support their 5 Directors and Chief Executive Officer. They will provide full administrative and secretarial support at a senior level to the Board to ensure the smooth management of their day-to-day affairs and make most effective use of their time. You will be privy to lots of sensitive information, so confidentiality is key. The successful candidate will be the Boards right-hand person and must be unflappable, proactive with high attention to detail. Determined, confident with a can-do attitude coupled with previous similar PA experience & not be phased by working to tight deadlines and taking on a varied workload.

There will also be an expectation that the job holder will work closely in a collaborative relationship with Senior Management Team and HR.

This role will work predominately from their office in Huntingdon, with some working from home.

Key Responsibilities:

  • Acting as a first point of contact: dealing with correspondence and phone calls.
  • Managing diaries and organising meetings and appointments - assessing priority of appointments and reallocation as necessary, across different time zones.
  • Booking and arranging travel, transport and accommodation – when restrictions allow.
  • Reminding the manager/executive of important tasks and deadlines.
  • Process Director’s correspondence, ensuring that incoming correspondence is dealt with by the Director/or on behalf of the Director, or other staff as appropriate.
  • Typing, compiling and preparing reports, presentations and correspondence.
  • Assist Directors in researching and following up actions – chasing responses, triggering follow-up actions.
  • Required to pick up on any adhoc SMT/HR administrative support as and when required.
  • Live and promote their visions and values

Skills and Qualifications

  • Exceptionally strong written and verbal communication skills
  • Superior organisational skills and be able to prioritise a busy workload and work independently
  • Total Confidentiality is essential
  • Excellent problem-solving skills
  • Strong Negotiation skills
  • This role requires someone who is tactful, super-efficient, and flexible with a 'can do' attitude
  • Detail Oriented
  • Able to Multi-Task
  • Previous experience within a PA/EA role
  • Experience of electronic diary management
  • High standard of English and written skills
  • Strong experience of using Microsoft packages, particularly MS Word and Outlook
  • Clear and professional communications skills
  • Outstanding organisational and time management skills, with ability to work flexibly as required
  • Accuracy and high attention to detail
  • Able to use initiative and isn't afraid to challenge senior staff members when necessary
