We are looking for an Estate Office Administrator to undertake the following duties on a day-to-day basis: Key responsibilities路 Ensure all telephone queries are dealt with correctly 路 Process all weekly attendance & time sheets & ensure that all files are updated 路 Record annual leave & sick days, ensure files are up to date 路 Process all purchase orders & invoices on the Proactis system 路 Monitor all purchase orders & payments made on Proactis 路 Maintenance of budget spreadsheets 路 Prepare & balance petty cash 路 Review & order all required office stationery 路 Maintain all cattle & sheep records in line with Government & Estate requirements 路 Maintain all annual Deer Cull & Count information records 路 Ensure all staff training requirements are met & up to date in line with H&S 路 Responsible for Estate vehicles, plant & equipment asset register's 路 General filing, accounting, & day to day office duties 路 Occasional cooking & food preparation for visitors & staff 路 To adhere to organisational policies and procedures. 路 To ensure a professional approach is undertaken in performing duties and interacting with clients, colleagues and external providers, with particular emphasis on maintaining departmental confidentiality. 路 To always respect the nature of the company's business and adhere to strict code of conduct and confidentiality. 路 To provide cover for colleagues in times of absence, such as annual leave. Training and Development Responsibilities* Proactis system * Customer service and communication skills * First Aid * Health and Safety Knowledge/Experience/Skills/Abilities路 Proven experience of administration in a quality driven service environment, such as hotel or Private Estate 路 Proven relevant experience working in a 24/7 environment 路 Proven organisational skills 路 Able to demonstrate proven specialist hands on cleaning experience 路 Health and Safety knowledge preferably gained through a recognised course 路 Computer literate, with experience of Microsoft packages such as Word, Excel, Outlook Personal Attributes路 A proactive, positive and professional approach 路 A good, willing and hospitable approach to the job and guest.
