- Serve as the primary point of contact for the Managing Directors, managing their office operations in their absence.
- Collaborate with key stakeholders across the business, maintaining strong working relationships and ensuring alignment.
- Handle highly confidential information with integrity, discretion, and diplomacy.
- Develop a thorough understanding of the business to efficiently coordinate activities and manage workflows.
- Proactively manage diaries, prioritising meetings, appointments, and documentation to ensure smooth daily operations.
- Coordinate all travel and accommodation arrangements with forward-thinking efficiency.
- Lead and support company projects from inception through to completion, assisting the Managing Directors with project delivery.
- Manage correspondence, ensuring timely responses and tracking incoming and outgoing communications.
- Prepare and compile presentations, reports, and briefing materials with minimal input, ensuring accuracy and completeness.
- Ensure key cyclical reports, reviews, and budget deadlines are met through liaison with relevant stakeholders.
- Maintain effective communication channels with internal and external partners, including Bauder Germany and other business units.
- Handle the arrangement of meetings, booking of travel, and other logistics for the Managing Directors as needed.
- Take meeting minutes and actions, ensuring confidentiality and a high level of accuracy.
- At least 5 years of experience as a Personal Assistant at the Executive or Director level.
- Proven ability to manage complex diaries and correspondence efficiently.
- Strong experience in office management, with excellent planning and organisational skills.
- A proactive approach to managing workloads, with minimal supervision.
- Experience in building relationships at a senior level, with the ability to inspire trust and maintain confidentiality.
- Strong project management skills, with relevant qualifications.
- Ability to adapt to change, manage ambiguity, and meet tight deadlines.
- Strong financial acumen, including budget management.
- Excellent written and verbal communication skills, with the ability to influence and negotiate at all levels.
