Executive PA to Managing DirectorsLocation: Ipswich, Suffolk | Position Type: Full-time, PermanentRole Overview:We are proud to be working exclusively with Bauder which is an award-winning manufacturer of building construction materials for flat roofs.  They are seeking a highly skilled and proactive Executive Personal Assistant to provide exceptional support to two Managing Directors. This role is pivotal in ensuring smooth collaboration, seamless coordination, and effective management across the areas of their responsibility. The successful candidate will be a self-starter, able to work with minimal supervision, and will demonstrate strong project management expertise to support initiatives through to successful completion.Key Responsibilities:
  • Serve as the primary point of contact for the Managing Directors, managing their office operations in their absence.
  • Collaborate with key stakeholders across the business, maintaining strong working relationships and ensuring alignment.
  • Handle highly confidential information with integrity, discretion, and diplomacy.
  • Develop a thorough understanding of the business to efficiently coordinate activities and manage workflows.
  • Proactively manage diaries, prioritising meetings, appointments, and documentation to ensure smooth daily operations.
  • Coordinate all travel and accommodation arrangements with forward-thinking efficiency.
  • Lead and support company projects from inception through to completion, assisting the Managing Directors with project delivery.
  • Manage correspondence, ensuring timely responses and tracking incoming and outgoing communications.
  • Prepare and compile presentations, reports, and briefing materials with minimal input, ensuring accuracy and completeness.
  • Ensure key cyclical reports, reviews, and budget deadlines are met through liaison with relevant stakeholders.
  • Maintain effective communication channels with internal and external partners, including Bauder Germany and other business units.
  • Handle the arrangement of meetings, booking of travel, and other logistics for the Managing Directors as needed.
  • Take meeting minutes and actions, ensuring confidentiality and a high level of accuracy.
Required Experience & Competencies:
  • At least 5 years of experience as a Personal Assistant at the Executive or Director level.
  • Proven ability to manage complex diaries and correspondence efficiently.
  • Strong experience in office management, with excellent planning and organisational skills.
  • A proactive approach to managing workloads, with minimal supervision.
  • Experience in building relationships at a senior level, with the ability to inspire trust and maintain confidentiality.
  • Strong project management skills, with relevant qualifications.
  • Ability to adapt to change, manage ambiguity, and meet tight deadlines.

  • Strong financial acumen, including budget management.
