I am working with an expanding organisation on the outskirts of Kings Lynn who are in need of a temporary Executive Assistant to Managing Director for approximately two months.
 As an Executive Assistant, you will address the Managing Director's overwhelming workload by efficiently managing and prioritising his schedule and communications.
- Minimise distractions, allowing the Managing Director more time to focus on strategic tasks and decision-making.
- Streamline processes and improve operational efficiency within the team.
- Create a supportive environment that enables strategic focus and fosters positive relationships with stakeholders.

Key Areas of Responsibilities
- Calendar Management:
- Reviewing and updating the executive’s calendar, ensuring all appointments include context, and time is allocated for focused work.
- Maintain a longer term overview of the Managing Directors schedule to pre-empt and plan accordingly.

- Email and Communication Oversight:
- Monitor the email inbox, prioritise messages, respond to inquiries, and flag important correspondence that requires attention.
- Ensure the Managing Director addresses only the most essential items and respond to those within your knowledge and capability, on behalf of the Managing Director.
- Meeting Coordination:
- Schedule and organise meetings, ensuring they are necessary and productive.
- Prepare agendas, and ensure all necessary materials are prepared and available. Take minutes during meetings as required and circulate them to relevant stakeholders.
- Travel Arrangements:
- Organise travel logistics, including itineraries, booking flights, accommodations, and transportation as needed, while ensuring all arrangements align with preferences and schedules.
- Document Preparation:
- Draft, review, and prepare corporate documents, presentations, and reports using Microsoft Office or InDesign, ensuring they are polished and ready for distribution.
- Stakeholder Liaison:
- Act as a point of contact for internal and external stakeholders, fostering effective communication and ensuring timely responses to inquiries.
- Event Organisation:
- Plan and coordinate events or conferences, managing logistics such as venue selection, catering, and attendee communications, ensuring they align with business goals and the Managing Director’s availability.
- Task Management:
- Regularly assess tasks and priorities to align with the Managing Director’s strategic goals.
- Keep track of important deadlines and tasks, reminding the Managing Director of upcoming commitments and ensuring that priorities are met.
- Problem Solving:
- Anticipate and address potential issues before they reach the Managing Director, ensuring smooth operations.
- Proactively identify areas for efficiency improvements and suggest solutions to streamline operations, working independently to implement changes when possible.
