We are looking for an Event Production Coordinator to join our growing team.This is a hybrid role (3 office days in Farringdon) with a salary range of 25K - 32K based on Industry experienceThe ideal candidate will have a passion for event planning, possess exceptional organisational skills, and thrive in a fast-paced, deadline-driven environment. In this role, you will be responsible for coordinating all aspects of event planning and execution alongside the Senior Producer(s)/ Producer(s), ensuring seamless operations and unforgettable experiences for their clients.Our agency operates globally with our main operating offices in Switzerland (Basel) United Kingdom (London & Cambridge), Canada (Toronto) & Singapore. We proudly produce hundreds of events annually, making this an exciting role with a diverse range of tasks each week. You'll have the opportunity to support the Production and Events Team in person at the many global events we produce.Key Responsibilities:Administrative support to the producers: Maintain event calendars, create production timelines and critical paths, updating event documentation, templates and assist with budget tracking and reporting.Team Collaboration: Work closely with internal teams, including Account Directors, Creative and Strategic Directors and Designers, to ensure seamless event execution.Client Liaison: Assist in managing client communications before, during, and after events to ensure client satisfaction and correct event execution. Taking meeting minute notes and ensuring project status reports are kept up to date across active projects.Vendor & Partner Management: Research and communicate with vendors for quotes, service inquiries, and scheduling of event needs such as printing, AV equipment, decor, and attending any pre site visits with the core production team.On-site Event Coordination: Supporting the management and set up/pack down of the onsite production office, ensuring the onsite team are supported with administrative tasks and overall support for the execution of live events.Post-Event: Assist with post-event reporting, gather attendee feedback, collate event captured content and feedback and help with debrief meetings to improve future events.Requirements:

  • Bachelor's degree in communications, Event Management, or a related field (or relevant experience). Ideal but not essential
  • Knowledge of the pharmaceutical industry. Ideal but not essential
  • Strong organisational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to collaborate and work in a fast-paced environment.
  • Flexibility to work irregular hours, including evenings and weekends, as required.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google
  • Workspace & SharePoint.
  • Desirable experience producing events using Teams, Zoom, Google Meets and other virtual event platforms.
  • And most importantly, a passion for events and a desire to grow in the event production industry.
